Document Sender allows your scanned document to be sent electronically as an email or fax, so if your recipient still lives in the old world of fax machines, you can send it there.<\/p>\n<p>If you&#8217;re sending it in your own organization or to a recent recipient, you&#8217;ll probably want to send it as an email, firstly it&#8217;s a lot faster, and secondly it doesn&#8217;t cost you anything if you already have an internet connection anyway.<\/p>\n<p>Some simple numbers: Faxing 20 pages a day from Austin, Texas to Philadelphia at $0.10 per minute costs you $400.00 per year on the send side, plus $50 for fax machine maintenance and $30 for power (about 30 watts) on standby.  Document senders typically consume less than 10 watts of power in standby mode.<\/p>\n<p>Document senders can usually take a wide range of industry standard USB scanners, which allows you to select the right scanner capabilities and price.  With fax machines, you&#8217;re limited to the standard fax paper format, and with scanners, you can select the appropriate format.<\/p>\n<p>The Document Sender is what I call the affinity device.  As with a dedicated fax receiver, a dedicated document sender will dramatically reduce the amount of paper printed in or across organizations, as well as increase the speed of information flow and delivery.<\/p>\n<p>More recent document senders per user allow you to set up an individual address book for e-mail or fax numbers and require the user to identify the document sender before using the machine.  This way no one can maliciously email or fax a document on someone else&#8217;s behalf.<\/p>\n<p>In environments such as legal, government, or medical where there are strict rules about what documents are sent in place, a Document Sender device is a perfect fit as it can be centrally configured and managed to enforce policies and any required controls.<\/p>\n<p>If needed, Document Sender can store in a central service running on a PC or server, so that who emailed what to whom and when can be recorded in a central database and retrieved as necessary for analysis.<\/p>\n<p>Savings on energy and paper, speed of delivery, accountability and control over access to your company&#8217;s resources are all strong arguments for using document mailers instead of a fax machine.  All these reasons combine and make the use of such a device a must for all organizations large and small.
